Planning Duration: 2 Month Minimum

  • 1 hour bi-weekly virtual planning meetings to discuss final event preparations 

    Creation of ALL event timelines: 

  • Vendor production schedule coordination load in / load out of deliveries 

  • Photo and video schedule for couple + families 

  • Catering schedule outlining timing of meal prep, service and clearing 

  • Transportation itinerary for couple, wedding party + guests

  • Hair and makeup schedule 

  • Review ALL vendor contracts to ensure vendor timing and OT rates where applicable 

  • 1 hour final venue walk through to confirm all details with on-site manager and on-site event staff 

  • Distribution of final guest count to vendors 

  • Assistance with final floor plan 

  • Proofing of printed materials

  • Suggestion of vendor gratuities 

  • Packing list

  • Review inventory and ensure nothing is missing 

  • Distribution of all necessary event paperwork to vendors

  • Complete vendor list + contact information 

  • Load in and parking information 

  • Review seating chart and guest list to ensure no pertinent details are missing

  • Must have photo list 

  • Must have music list 

  • Additional items list 

At minimum 2 SDEPC representatives onsite* up to 10 hours on the event day (Additional coverage available at an hourly rate)

  • Ensure all timelines are running smoothly and on schedule 

  • Oversee all vendor load-in

  • Check inventory of additional items list 

  • Facilitate transportation schedule for bridal party + wedding guests 

  • Ensure all ceremony + reception items are set up properly 

  • Act as the liaison with ceremony officiant 

  • Line up the bridal party for the processional + cue musicians 

  • Run photo timeline and assist with must-have photos 

  • Oversee dinner service and timing 

  • Cue speeches and dances performances

  • Oversee favor set-up + distribution 

  • Handle all emergencies that may arise with ease + discretion 

    Additional travel travel and accommodation fees applicable for destination weddings.
